Event check-ins were often slow and required too many staff members to handle badge printing manually. Our client wanted to build a self-service kiosk system that could speed up the process and reduce crowding at the registration desk. The goal was to let attendees print their own badges instantly while helping event organizers save time, lower costs, and improve the overall visitor experience.
At past events, badge printing took too long because staff had to find registrations manually and print badges one by one. This caused delays and long lines during busy hours.
We developed a fully automated kiosk app that connected directly to the online registration database. Attendees could search by email or scan their QR code, verify details, and print badges instantly (no staff needed!)
Once badges were printed, some attendees needed reprints due to loss or damage, which could lead to confusion or misuse. The system needed a secure way to handle these cases.
We added a smart reprint control system. It blocked duplicate prints by default and only allowed authorized reprints through a secure Admin Mode with passcode access. This kept badge printing accurate and controlled.
Since the kiosk would be used by hundreds of people of different ages and tech comfort levels, the interface had to be extremely simple and clear.
Our team designed a touchscreen interface with large, clear buttons, step-by-step instructions, and an idle slideshow that invited users to “Touch to Begin.” The flow made the entire process intuitive, even for first-time users.
With hundreds of attendees checking in at once, the system had to handle a high volume of lookups and badge prints without any delays.
We integrated the kiosk with a cloud-hosted MySQL database optimized for real-time data fetching. This made sure that attendee details loaded quickly and that print status updates were instantly recorded in the database.
The kiosk has a straightforward touchscreen layout with big buttons and simple on-screen instructions. Visitors can now find their names and print their badges in seconds.
Attendees can scan their registration QR codes for quick access to their records. This makes the check-in process faster and reduces wait times.
For attendees without a QR code, the kiosk allows quick lookups using an email address or last name. Admin users can also perform special searches in a secure mode.
Once details are verified, the system automatically generates and prints the badge. The entire process is quick and requires no staff assistance.
Duplicate printing is now prevented through a built-in control system. Only event staff with admin access can reprint badges when needed, to ensure security and accuracy.
The kiosk connects to a live MySQL database that updates attendee information in real time. Every printed badge is tracked, ensuring up-to-date and reliable data.
